We are seeking a Junior Personal Assistant to join our Business Support team.


Role summary:

The Personal Assistant offers strong assistance to the leadership members by providing a tailored assistance, facilitating their day-to-day activities, and adding value to client relationship management. He/she is the key contact with internal and external stakeholders to ensure a smooth and seamless daily business. He/she increases the efficiency by freeing up time for the Partners so that they can concentrate more deeply on key elements related to business/clients (business development, business opportunities, etc.).


Key accountabilities: 

Ensuring a smooth and seamless daily business for several Partners:

  • Proactively managing Partners’ calendars, incoming phone calls (direct calls to appropriate parties or take messages), outlook inboxes (read, monitor, forward and respond where necessary) and incoming mail process (digital mailroom).
  • Preparing and/or sending correspondence on behalf of Partners.
  • Planning and organizing internal and external meetings/lunches/events.
  • Completing Partners’ time sheets and managing their expenses (car leasing, credit card payments, etc.).
  • Assisting in procurement process (P2P system, e.g. event registration).
  • Planning and organizing business travels and related itineraries.
  • Monitoring of Partners’ trainings & related follow-up with People & Culture department.
  • Providing solution-oriented support involving a wide variety of duties that are critical to ensure smooth and seamless business processes.
  • Being Partners’ delegate for systems/applications if relevant.

Engagement and business-related support/adding value to client relationship:

  • Being first point of contact for clients and external parties.
  • Organizing and preparing agenda/presentation for internal & external meetings. If requested, joining those meetings, taking minutes and support in the follow-up of action points.
  • Planning and organizing client events.
  • Supporting in PowerPoint presentations:
  • Preparing templates for certain presentations (e.g. quarterly team meetings, client update meetings, etc.).
  • Applying the right KPMG templates and guidelines.
  • Preparing and managing design/layout of presentation based on content provided by Partner (visuals, pictures, animations, collection of slides from other stakeholders, putting slides together and ensuring a consistent design).
  • Assisting with the Client Relationship Management tool (CRM): reports, contacts, mailing/event list.
  • Keeping a global vision of Partner's portfolio/core business.
  • Supporting in the follow-up on engagement activities with the Managers (e.g. for the period close down).

Other activities and responsibilities, in addition to those mentioned above, may be entrusted with the function holder.

 About you:

  • Strong Computer skills including Outlook and MS Office package (Teams, Word, Excel, PowerPoint)
  • Some knowledge of anti-money laundering rules, Know-Your-Customer process.
  • Strong knowledge of internal tools (i.e. CRM, P2P, STAR, etc.)
  • Good organizational and time management skills.
  • Results oriented, proactive, meticulous, and able to meet tight deadlines.
  • Good analytical and problem-solving skills.
  • Delivering high quality results.
  • Languages: fluent in English, and fluent in either French or German; any other language is considered as an asset.
  • Educational Background: Bachelor's degree (or equivalent) in Foreign Languages, Business Administration, Human Resources, Public Relations, or a related field.

A first experience including a proven track record working within a fast-paced corporate environment (we are open to train young graduates).
